Cosplay Club - Code of Conduct

Purpose

The Cosplay Club Code of Conduct exists to ensure a safe, inclusive, respectful, and welcoming environment for all members, volunteers, event attendees, and partners. All participants are expected to uphold these standards when engaging with Cosplay Club, both in person and online.

Scope

This Code of Conduct applies to:

  • All members of Cosplay Club

  • Volunteers and committee members

  • Attendees at Cosplay Club events and activities

  • Online spaces administered, moderated, or officially associated with Cosplay Club

Expected Behaviour

All participants are expected to:

  • Treat others with respect, courtesy, and consideration

  • Act in a manner that supports a safe, inclusive, and harassment-free environment

  • Follow directions from committee members, event leads, and designated organisers

  • Respect personal boundaries, consent, and individual differences

  • Comply with venue rules, event guidelines, and applicable laws

  • Represent Cosplay Club positively when attending events or engaging with the public

Cosplay, Consent & Personal Boundaries

Cosplay Club recognises that cosplay involves creative expression and often includes elaborate costumes and props. Consent and personal boundaries are essential at all times. Any breach of consent may be treated as a serious violation of this Code of Conduct. Participants must:

  • Ask for consent before touching another person, their costume, wig, props, or accessories

  • Respect a person’s right to refuse photos, interaction, or physical contact

  • Avoid comments or behaviour that sexualise or objectify others

  • Be mindful that costumes are not consent, and participation in cosplay does not imply permission for physical or verbal interaction

Unacceptable Behaviour

The following behaviours will not be tolerated:

  • Harassment, bullying, intimidation, or discrimination of any kind

  • Sexual harassment, unwanted physical contact, or inappropriate comments

  • Hate speech, threats, or aggressive behaviour

  • Disruptive conduct that interferes with events or community activities

  • Abuse of authority or misuse of a position within the club

  • Deliberate exclusion, targeting, or marginalisation of individuals or groups

  • Behaviour that damages the reputation, safety, or wellbeing of Cosplay Club or its community

  • Failure to follow reasonable directions from organisers or committee members

Commitments & Responsibility

Members and volunteers are expected to honour commitments they make to the club, particularly in relation to event participation and volunteer roles.

If an individual is unable to meet a commitment, they must notify a committee member or event lead as soon as reasonably possible. Legitimate exceptions include illness or medical circumstances.

Repeated failure to meet commitments without reasonable notice may be treated as a breach of this Code of Conduct.

Online & Social Media Conduct

This Code of Conduct extends to online spaces, including but not limited to social media platforms, messaging services, and community servers where Cosplay Club is represented. Participants must:

  • Communicate respectfully and in good faith

  • Avoid harassment, dogpiling, or public shaming

  • Not post content that is abusive, discriminatory, defamatory, or inflammatory

  • Not disclose private information about others without consent

  • Avoid representing personal opinions as official Cosplay Club positions unless authorised

The committee reserves the right to moderate, remove content, or restrict access to online spaces where necessary.

Reporting Concerns

Any concerns, incidents, or suspected breaches of this Code of Conduct should be reported to a committee member as soon as possible.

Reports will be handled discreetly and respectfully, with the safety and wellbeing of those involved as the primary concern. Confidentiality will be maintained where possible.

Breaches & Disciplinary Action

Breaches of this Code of Conduct may result in disciplinary action at the discretion of the Cosplay Club committee. Actions may include:

  • Verbal or written warnings

  • Removal from an event or activity

  • Suspension of membership or volunteer involvement

  • Termination of volunteer roles or removal from the club

Serious breaches may result in immediate action without prior warning.

Committee Authority

The Cosplay Club committee reserves the right to interpret, enforce, and update this Code of Conduct as required. Decisions made by the committee under this Code are final and are made in the best interests of the community and organisation.
